Job Description

The Marketing & Commercial Excellence Coordinator role plays a pivotal role in enhancing the efficiency and productivity of the Marketing and Commercial Excellence team within Allergan Aesthetics. By offering a wide array of administrative and marketing support services, this position aims to streamline operations and foster optimal performance of the department. By effectively managing these administrative and support tasks, you will contribute to the overall efficiency and productivity of the Marketing and Commercial Excellence team, allowing them to focus on their core responsibilities and drive the success of the Commercial Business Unit. 

KEY DUTIES AND RESPONSIBILITIES

  • Efficiently book on-site and off-site meetings and events. 

  • Handle logistics, including sourcing materials and equipment. 

  • Create meeting agendas and ensure compliance with AbbVie Finance policy requirements and limits. 

  • Coordinate the development of promotional materials as directed by brand leads, working closely with various agencies and managing the promotional review process through Veeva Vault. 

  • Managing physical/print material inventory levels and coordinating the withdrawal and destruction of expired materials 

  • Manage purchase orders and invoices. 

  • Track and liaise between shared services and the marketing and commercial excellence teams. 

  • Print, collate, and distribute materials required by the marketing and commercial excellence teams, including training and promotional materials. 

  • Ensure the necessary materials, AV equipment, and IT support are sourced for smooth event execution. 

  • CRM management support and updating CRM systems ensuring data quality by regularly performing data audits and cleaning tasks  

  • Assist in processing expenses by sourcing necessary documentation, such as attendee lists and detailed invoices.  

  • Ensure compliance with AbbVie Finance policy requirements and limits. 

  • Collate and submit ACR documentation to LKU for payment processing. 

  • Ensure all necessary documentation is provided and meets the policy requirements set out in NovoStar/Procurement Policies 

  • Report any adverse event within 24 hours as per Allergan’s policies and procedures. 

  • Proactively participate in AbbVie’s WHS programs, adhere to policies and always promote a safe work environment. 

  • Adhere to Allergan’s / AbbVie’s internal codes of conduct and compliance processes. 

  • Other ad hoc duties such as administrative duties, as requested. 

Qualifications

  • TAFE or equivalent training in secretarial/office management is desirable. 

  • Extensive experience in administration within pharmaceutical or healthcare fields (at least 4 years). 

  • Event management experience and/or Diploma in Marketing are desirable. 

  • Numeracy and basic procurement skills. 

  • Excellent verbal and written communication skills. 

  • Dynamic and solutions focused. 

  • Attention to detail and fast learner. 

  • Highly organised with a reputation for accountability, prioritisation, delivery, and proactivity. 

  • Demonstrated highly developed and agile prioritisation skills. 

  • Proficient IT skills including Microsoft Office (Word, Excel, PowerPoint, Teams, OneDrive), CTE/Concur, VEEVA Promomats, and e-wizard.
