The Master Scheduler will play a vital role in creating the core scheduling function within the Program. Working closely with project and program managers, stakeholders, team members and other schedulers, the Master Scheduler will be responsible for developing, maintaining, and analysing project and program schedules, identifying critical path activities, and implementing schedule optimisation strategies to mitigate risks and maximise resource utilisation. The successful candidate will possess excellent organisational skills, attention to detail, and a proactive approach to problem-solving.

  • ​Document the schedule management guidelines, templates and standards to be used by the Project and Program Managers on the Program
  • Assist Project and Program Managers in the development of the work breakdown structure and in identifying internal and external dependencies

  • Assist Project and Program Managers in the establishment and maintenance of their project/program schedules

  • Collate weekly updates of status from program workstreams of progress

  • Create and maintain an integrated program master schedule detailing the scope, progress against baselines, etc

  • Manage the program's critical path and identify the issues impacting timely delivery

  • Ensure consistency of the level of planning being maintained across program streams

  • Support the Program Director and Program Manager through the weekly governance cycles

  • Provide Schedule management guidance and support to the workstreams

  • Support in the activities that drive out key portfolio scheduling tasks such as timely funding submissions, contingency management, prioritisation activities and tasks that lead to successful portfolio management and governance within the target KPIs

  • Program Management Plan - Develop and maintain schedule management plans that provide the framework for schedule development, work breakdown structure development, program protocols, phase-specific plans and monitoring and review of agreed and assigned work packages

  • Based on information from programs, align all funding releases, milestones and deliverables

  • Determine the impact of approved Change Requests

  • Risks, Dependencies and Milestone Tracking

  • Proactive identification of schedule interdependencies between and within workstreams

  • Work closely with Risk roles to ensure risks and issues are appropriately tracked and impacts on the program schedule are clear and escalated appropriately

  • Management and identification of dependencies between major programs

  • Proactively work with Program Directors and Program Managers to resolve schedule conflicts

  •  
  • Regular reporting on the progress against milestones

  • High-level reporting and translation of program data into the program status report

  • Provide support and input for Steering Committee Reports, Project Health Checks, Stage gate approval submissions, etc

  • Management of program reporting requirements to the Program Management Office (PMO)

  • Ensure high-level milestones are updated in systems

  • Ensure financial forecasts are supported by the schedule and reflect realistic burn rates

  • Ensure resource forecasts are aligned with program work activity and resource on-boarding and release are proactively forecasted

  • Provide program-level comparative analysis reporting

Qualifications

  • Bachelor's degree in Engineering, Construction Management, Business Administration, or a related field.

  • Proven experience (5 years+) as a Master Scheduler or Project Scheduler.

  • High proficiency in scheduling software such as Planview, Jira, Microsoft Project, Primavera P6, or similar tools.

  • Strong analytical skills with the ability to analyse complex project data and identify trends, patterns, and insights.

  • Excellent communication, interpersonal, and stakeholder management skills.

  • Ability to work effectively under pressure in a fast-paced environment and manage multiple priorities simultaneously.

  • Detail-oriented with a focus on accuracy and quality.
