Description

Hybrid working 4 days in the office, the Office Administrator will be responsible for the day-to-day tasks associated with the operations of the epay office and providing additional Human Resources Administrative support.

The Office Administrator will meet and exceed all company and individual goals in line with the Company’s policies, procedures and values.

Requirements

OFFICE MANAGEMENT ESSENTIAL DUTIES:

·       Control and place stationary, kitchen supply and other office-related orders 

·       Liaise with Building Manager for any matters related to building maintenance, new requests, security access and contractors’ access (e.g. external cleaning company)

·       Ensure office is well looked after, clean, and organised and all employees participate on a schedule to maintain the space

·       Revision of contracts and external services (printers, delivery system, office layout, cleaners, coffee machine rental, and others)

·       Support the business with office relocation that is due to happen in April/May 2025

·       Manage front desk responsibilities such as greeting visitors and clients, receiving and distributing daily mail and deliveries, answering phone calls if required, and maintaining office security

·       Handling all company apartment tasks, including cleaning arrangements or other property-related matters requested by the line manager  

·       Assisting internal stakeholders with rental car needs, parking organisations, and keeping track of company car agreements and documents

·       Managing important celebration dates, such as staff birthdays, company anniversaries, recognition approaches, mental health days and actions


HUMAN RESOURCES ESSENTIAL DUTIES:


·       Monitor and update human resources policies & procedures

·       Provide support and coordinate HR-related matters requested by the line manager or other department heads

·       Keep human resources documentation up to date and ensure they are stored correctly

·       Provide administrative support for any issues that require Worker’s compensation claims management and rehabilitation

·       Recruitment Process – Organise through external agents by clarifying the roles, updating the Job Description, and assistance department heads with their recruitment requests. If necessary, organize job advertisements internally by using job boards and tools, conduct phone screens and reference checks, and coordinate the interviewing process.

·       Manage the Onboarding and Offboarding procedure of employees by using internal or external tools.

·       Induction process to introduce new hires to the company, our culture, their team, other teams and guarantee their training is well organised to support employee success in the organisation

·       Monitor and provide data in relation to staff turnover, new hires and etc.

·       Organise training & development requests from employees, gathering managers' approvals and ensuring the budget is approved by the Finance Department

·       Working closely with the line manager or Global HR Community to meet initiatives and projects.

·       Other duties, special projects, and special reporting as assigned.
