About the Role

The Office Manager plays a pivotal role in supporting the demands of the Managing Director role along with leading and managing the day to day operations of the Dyson Sydney office. The role promotes efficiency, exceptional quality and timely execution, acting as a vital partner to make the day to day requirements smooth and proactive for the MD and the Leadership Team (LT).

Main responsibilities include but not limited to:-

  • Work in true partnership with the Managing Director to ensure seamless and efficient ways of working

  • Proactively improve processes to maximise administrative efficiencies

  • Manage all the MD’s diary requirements and prioritise activities as needed

  • Arrange the MD’s travel and other business arrangements (e.g. external appointments)

  • Communicate on the MD's behalf with organisational executives both internal and external

  • Coordination of meetings on the MD’s behalf as required

  • Maintain calendars, identifying conflicts and resolving promptly

  • Coordinate all meetings on behalf of MD and/or Leadership Team: locally, interstate or international

  • Arrange meeting spaces or offsite venues as needed

  • Make interstate & international travel arrangements

  • Compile presentations, reports and statistical data as directed

  • Collate agendas for local and international meetings

  • Record and distribute actions/minutes of various meetings & follow up accordingly

  • Submit monthly expenses on behalf of MD

  • Act as a role model and professional representative of the Managing Director

  • Ad-hoc administration support to Leadership Team

  • International visitor coordination when relevant

  • Manage the day to day operations of the office

  • Implement processes and ways of working to promote efficiencies and continuous improvement

  • Coordinate deliveries and couriers via International Towers loading dock

  • Oversee the coordination of external contractor & maintenance needs

  • Support corporate travel agency provider to roll out processes and systems

  • Coordinate general office maintenance requirements

About You

You will bring exceptional interpersonal skills both written and verbal at all levels of the business coupled with a high attention to detail. You possess the ability to work autonomously and exercise discretion and have experience in implementing process improvement and efficiencies.

Previous skills & experience:-

  • Previous experience in an EA or PA role supporting senior leaders

  • Superior level of skill in Microsoft suite

  • Previous experience in a coordination role

  • People leadership experience (desired but not essential)
