We’re looking for a highly organised and proactive individual to take on the dual role of Office Manager/Executive Assistant at our Versent Sydney office.

This dynamic role is key to keeping everything running like clockwork, both in the office and across the business.

As the Office Manager/Executive Assistant, you’ll be the heart of our office – ensuring everything is running smoothly while providing top-tier support to our executive team. You’ll need to be adaptable, highly organised, and a strong communicator, with the confidence to handle big responsibilities, attention to detail, and the ability to juggle multiple priorities in a fast-paced environment.

Key responsibilities, on a day to day,

Office Management

  • Be the first point of contact for our team, visitors, clients, and partners - keeping things friendly and efficient.

  • Oversee the day-to-day office operations, from maintenance to supplies, ensuring everything runs smoothly behind the scenes.

  • Handle the office budget and maintain relationships with vendors.

  • Keep the internal communication flowing and help nurture our unique company culture.

  • Plan and coordinate memorable company events and team-building activities that no one will forget.
     

Building Management

  • Work closely with building management to ensure everything from maintenance to security is in top shape.

  • Manage office access passes and keep records in order—security meets organization.

  • Oversee fire safety and first aid compliance, keeping our office safe and sound.
     

Team Engagement

  • Welcome all our new hires with smooth onboarding and off-boarding processes.

  • Assemble welcome packs and lead office tours, giving new team members a warm introduction to Versent.

  • Establish yourself as the central point of contact for team members for office related enquiries by maintaining open lines of communication through various channels such as slack, email or phone

  • Create an approachable environment where team members feel comfortable coming to you with questions or issues
     

Executive Assistance

  • Keep executives organised by managing their calendars, emails, and meeting schedules with precision.

  • Arrange travel and accommodations for our executives, making sure everything is in place for a stress-free trip.

  • Prepare reports, meeting minutes, and other communication materials - keeping things clear and on point.

  • Manage expenses and credit card reconciliations, making sure the numbers always add up.
     

Event and Project Management

  • Organise and lead virtual and in-person events that add a spark to our team’s spirit.

  • Take the reins on ad-hoc projects and ensure they’re completed with flair, in budget and on time.
     

Skills Required

  • 3-4 years of experience in office management, with a blend of administrative support and front desk reception duties.

  • Strong interpersonal and communication skills, maintaining a professional and approachable demeanour with a focus on customer service.

  • Proven ability to organise, prioritise, and manage multiple tasks effectively, ensuring deadlines are met even under pressure.

  • Advanced proficiency in Microsoft Office, with a solid understanding of office equipment, procurement processes, and basic accounting procedures.

  • Demonstrated ability to handle sensitive information with discretion and sound judgment, while proactively solving problems in fast-paced environments.,
