We are the talent partner for a privately owned Australian property group that develops, builds, and manages a diversified portfolio for the long term. Their assets span retail, commercial, industrial, and residential across Sydney, and the business is in an active growth phase. New projects are coming online, and the team is growing to match.

The Role

This is a hands-on role at the Head Office located in Sydney CBD. You will support the Chief Operating Officer directly while also owning the day to day running of the office itself, which means the work moves between personal assistance, office management and broader business administration. One moment you are booking international travel and pulling together a meeting pack, the next you are liaising with building management on a maintenance issue or getting a new starter set up for their first day.

You will be the key point of coordination in the Head Office, with a receptionist reporting to you, and you will play a real role in making sure the office runs smoothly, five days a week from the head office.

What You'll Do

  • Coordinate travel, meetings, hospitality and correspondence for the MDs and COO

  • Assist with personal and administrative matters for the Managing Directors, including credit card reconciliations

  • Manage office supplies, facilities, suppliers and building management relationships

  • Support employee onboarding, meeting room bookings and event coordination

  • Provide broader administrative support, including document preparation, filing and WHS compliance

What You'll Bring

  • Previous experience as a Personal Assistant supporting senior managers, executives or business leaders

  • Exceptional organisational and time management skills, with the ability to juggle multiple priorities

  • Advanced Microsoft Office 365 skills, including Outlook, Word, Excel, PowerPoint and Teams

  • Excellent written and verbal communication, with demonstrated discretion and confidentiality

  • A proactive, resourceful approach and the ability to work independently

Who This Role Is For

You are the kind of person who notices what needs doing before anyone has to ask. You do not need tasks broken down in detail before you start, and you take real satisfaction in keeping a busy office and a senior leader's day running cleanly in the background.

You will thrive here if you enjoy genuine variety and want direct exposure to the people making decisions in a privately owned, entrepreneurial business, without the layers of a larger corporate structure.

This role is not for you if:

  • You want a narrow brief with a single focus, rather than a genuinely broad remit

  • You need detailed direction before you can act on a task

  • You find the day to day rhythm of office administration tedious rather than satisfying to do well

  • You are not comfortable being in the office five days a week

Why This Role

  • Direct exposure to Managing Directors and the COO of a privately owned property business

  • A genuinely broad remit spanning executive support, office management and business administration

  • A small, fast moving team where your work is visible and valued

  • A Head Office based in the Sydney CBD, at the centre of an active and growing portfolio

Research shows that while men apply to roles when they meet around 60% of the criteria, women and people from minority groups tend to apply only when they meet every requirement. If you think you have what it takes but do not tick every box, please get in touch. We would love to have a conversation.
