A Snapshot
As the PMO Smartsheet Specialist based at our Sydney HQ, you will report to the Senior Director, PMO & Pre-Flight PM and collaborate with teams and leadership across Asia Pacific, making your mark in a number of ways:
- Maintain and lead system development (primarily Smartsheet based) for PMO & Pre-Flight Program Management and providing support in developing and enhancing governance, reporting, useability and automation capabilities.
- Champion the continuous improvement of reporting tools across end-to-end life cycle of AirTrunk’s asset delivery projects to improve visibility, collaboration, efficiency and governance.
- Lead the development and integration of the PMO & Pre-Flight Program Management environment with other department’s ecosystems.
Your Day to Day
- Smartsheet Management & Development: Serve as the Smartsheet expert, spearheading the development, management, and enhancement of Smartsheet solutions. Responsibilities include crafting and maintaining automated workflows, custom dashboards, and integrations with other platforms using programming scripts and the Smartsheet API.
- Technical Support & Automation: Offer technical support for Smartsheet users throughout the organization, addressing issues, and creating automation scripts to improve functionality and efficiency.
- Tool Development & Reporting: Oversee tool development and reporting needs for the PMO & Pre-Flight PM team. Responsibilities encompass building and managing data models, databases, and dashboards to deliver key insights to senior management and executive leadership.
- Integration & Collaboration: Work closely with the PMO & Pre-Flight PM team and broader business stakeholders to plan and integrate Smartsheet with other departmental systems and tools, ensuring seamless data flow and reporting capabilities.
- Analysis & Presentation: Perform comprehensive analyses utilizing your modelling, data analysis, and presentation skills to develop effective dashboards and presentations, aiding decision-making processes across the organization.
- Continuous Improvement: Contribute to the ongoing improvements and innovations in reporting, automation, and administration functions, ensuring scalability, governance, and transparency are maintained.
Requirements
- Technical Expertise: Advanced proficiency in Smartsheet (including Premium Apps Control Centre, Dynamic View, Data Shuttle, etc.), as well as experience with its API and scripting (Python/Visual Basic preferred) for automation and integration with various platforms and tools.
- Analytical & Reporting Skills: Excellent analytical skills with the capability to create databases, models, and dashboards for reporting. Experience with tools such as Microsoft Excel, Power BI, and other reporting platforms is an advantage.
- Proactive & Collaborative: A proactive and inquisitive mindset, capable of working both independently and as part of a team, promoting continuous improvement and innovation within the PMO setting. Ability to manage and prioritise multiple requests simultaneously.
- Dealing with Ambiguity: Ability to take in complex and sometimes ambiguous information/data and provide structure to make it simpler to understand.
- Experience: Proven ability to develop and maintain project management schedules, templates, reports, and dashboards in Smartsheet. Preferably 3+ years of experience working in a PMO, especially within data centres or large infrastructure development and construction companies.
