Job Description Summary

The Procurement Lead is responsible for sourcing, evaluating, negotiating procurement events of goods, materials, utilities and building services contracts for multiple clients across Australia. 1.2. Reporting Relationships

This role will report into Head of Procurement. This role will have no direct reports.

1.3. Scope of Role

The Procurement Lead is responsible for sourcing, evaluating, negotiating procurement events of goods, materials, utilities and building services contracts for multiple clients across Australia. Our clients include federal and state governments as well as private, public and non-profit organisations.

1.4. Key Relationships

Internal Relationships: Shared services procurement team, client embedded procurement personnel, account managers, facilities managers, legal, risk, HSE, sustainability, corporate, commercial, bid and transitions team and finance)

External Relationships: Contractors, clients and third-party organisations

1.5. Job Purpose

The purpose is to ensure probity, ethical sourcing practice, streamlined stakeholder management for the timely delivery and diverse supplier engagement as well as year-on-year reduction in controllable operating expenses whilst contributing to a high performing culture.

1.6. Accountabilities

Key Result Area

Major Activities

Cultivate and manage client relationships to thoroughly understand their requirements

  • Conduct monthly procurement pipeline meetings
  • Develop and annually review the procurement plan and strategies in alignment with client agreement and policies
  • Seek opportunities for improved service delivery to the client
  • Attend internal meetings as required

Financial acumen

  • Analyse client spend
  • Understand market trends
  • Conduct benchmarking activities
  • Commercial evaluation

Conduct market activities

  • Collate background data
  • Market sounding
  • Prepare and execute procurement strategies
  • Prepare and compile RFx documentation
  • Assist in drafting client specific statement of requirements and service specific scope of works
  • Manage conflicts of interest and confidentiality documentation
  • Use of eTendering platform
  • Collate submissions
  • Chair Tender Evaluation Committee Meetings
  • Conduct technical and commercial evaluations
  • Conduct negotiations in consultation with stakeholders
  • Prepare recommendations for client approval
  • Draft, issue and execute agreements
  • Draft and issue award/ non-award letters
  • Conduct debriefs
  • Assist in transition-in as required
  • Comprehensive records retention

Reporting

  • Ad hoc reports on spend, social engagement, supplier capabilities from internal resources
  • Monthly client specific contractual reporting – where required

ESG

  • Actively participate in C&W ESG targets including conducting modern slavery audits
  • Promote engagement with Indigenous owned business and social enterprises
  • Ability to align with clients ESG targets and requirements

Other

  • Performs other duties as requested by your direct manager
  • Occasional requirement to work extended hours during peak times or to assist with major functions/events
  • Development of operational standards / playbooks / operating manuals for all aspects of the business

  • Understand the Cushman & Wakefield brand and expertise of services delivered to ensure all opportunities to provide a full-service offer to clients and staff is available
  • Comply with Cushman & Wakefield policy
  • Adherence to client policies.
1.7. Background & Experience
  • Procurement Management: at least 3-5 years of experience in procurement, supply chain management, or a related field specific to building services (hard, soft, utilities and panel) and preferably in a managerial or supervisory role. Demonstrated advanced knowledge of the Procurement Life Cycle.
  • Client Relationship Management: Proven experience in developing and managing client relationships in complex environments. Previous experience in government agencies would be advantageous.
  • Strategic Planning and Execution: Experience in developing and implementing procurement plans and strategies, including annual reviews and adjustments.
  • Financial Acumen: Ability to interpret financial data, understanding financial consequences, evaluating financial performance, assessing financial results and proven cost reduction achievements.
  • Supplier Diversity: Experience in promoting and engaging diverse suppliers.
1.8. Qualifications & Technical Skills
  • BBA/ BE or equivalent advantageous
  • Systems and software:

  • Intermediate MS Office 265, SharePoint, OneDrive and Teams
  • Knowledge PowerBI reporting
