About the Role

The Product Coordinator Global Portal provides coordination, administrative, and communication support to the Global Portal product team. Reporting to the Global Portal Product Manager, this role plays an important part in keeping the product team organised, informed, and operating effectively.

Operating at a coordination and support level, the role focuses on enabling smooth product operations through strong organisation, clear communication, and diligent follow-through. It works closely with the Product Manager, Business Analysts, education team, and key stakeholders to support day-to-day product activities and stakeholder engagement.

As a key member of the Global Portal product team, the Product Coordinator Global Portal will:

  • Support the effective operation of the Global Portal product team through coordination and administration

  • Maintain product artefacts, documentation, and communication materials

  • Assist with stakeholder engagement, internal communications, and reporting

  • Help ensure product activities, actions, and deliverables are tracked and progressed.

This role is well suited to someone with strong organisational skills, a proactive mindset, and an interest in digital products and user experience.

Key Responsibilities:

The Product Coordinator Global Portal is responsible for providing coordination and administrative support across product planning, delivery, and stakeholder engagement activities. This role helps ensure the product team remains aligned, informed, and focused on delivery.

Product Coordination & Administration

  • Coordinate meetings, workshops, and product-related events, including scheduling, agendas, and materials

  • Maintain team documentation such as product backlogs, action trackers, release calendars, stakeholder registers, and product artefacts

  • Track and follow up on assigned actions to ensure progress and accountability

  • Support day-to-day administration to keep product activities running smoothly

Communication & Stakeholder Support

  • Assist with internal communications, stakeholder updates, and product announcements

  • Prepare presentations, meeting packs, and summary materials for workshops, releases, and executive updates

  • Help gather, collate, and organise feedback, requests, and inputs from stakeholders and users

  • Maintain contact lists and stakeholder information

Reporting & Information Management

  • Assist with the preparation of reports, dashboards, and executive updates

  • Support accurate and timely information sharing across the product team

  • Help maintain consistency and quality of product-related documentation

Knowledge & Content Support

  • Support the upkeep of help content, FAQs, and internal knowledge base materials

  • Work with change and training teams to ensure content remains current and accessible

  • Assist in organising and publishing product-related resources

Team Collaboration & Support

  • Work closely with the Product Manager, Business Analysts, and delivery teams to support product activities

  • Provide coordination support to change and training initiatives related to the Global Portal

  • Contribute to a collaborative and well-organised product team environment

Qualifications, Experience and Skills

Qualifications

  • Tertiary qualification in Business, Communications, Project Management, or a related discipline (or equivalent experience).

Experience

  • Experience in a coordination, support, or administrative role within a corporate or professional services environment

  • Experience supporting teams working on projects, products, or digital initiatives

  • Experience working with multiple stakeholders and competing priorities.

Skills

  • Organisation & Coordination: Strong organisational and time management skills with the ability to manage multiple workstreams

  • Communication: Clear, professional written and verbal communication skills with the ability to adapt to different audiences

  • Stakeholder Engagement: Comfortable engaging with stakeholders across different levels and workstreams

  • Follow-through: Reliable, proactive approach with a strong sense of accountability

  • Collaboration: Ability to work independently while collaborating effectively with a wider team

  • Attention to Detail: Careful and accurate approach to documentation and coordination tasks

  • Curiosity & Learning: Genuine interest in digital tools, user experience, and continuous improvement.

Tools and Technical Skills

  • Proficiency in Microsoft Office and collaboration tools (Teams, Outlook, SharePoint, Excel, PowerPoint)

  • Familiarity with task-tracking, documentation, or workflow tools

  • Ability to quickly learn new systems and follow established processes.
