Key Responsibilities:
As our Project Administrator, you will:
- Set up new projects in the CRM system and convert approved opportunities into active projects.
- Create and manage project teams in Microsoft Teams, ensuring all documentation (risk registers, kickoff materials, change logs, etc.) is organised and up to date.
- Assign technical resources to projects based on scope and availability.
- Manage the PMO inbox and allocate presales tickets as needed.
- Support the PMO and technical teams with scheduling, documentation, and coordination throughout the full project lifecycle.
- Maintain accuracy of the project service board and update project documentation regularly.
- Liaise with subcontractors to ensure they have the necessary information, equipment, and supplies for installations and support services.
- Organise and facilitate client review and status meetings, including preparing minutes and tracking action items.
- Monitor project progress against schedules, budgets, and scope; provide reporting and escalate issues when required.
- Assist with finance and billing queries directly related to projects.
Requirements
- Proven experience in project administration or coordination, ideally within IT environments.
- Strong organisational and communication skills.
- Proficiency in Microsoft Teams, CRM systems, and project management tools.
- Ability to manage multiple priorities and stakeholders with confidence and clarity.
- 1+ year working in an administrative role
- Microsoft Word – Advanced
- Microsoft Excel – Intermediate
- ConnectWise or similar experience
- Other technical certification
