About the Role

We're looking for an energetic, proactive, and customer-focused Receptionist & Administration Coordinator to become the welcoming face of our Head Office in Belrose. This is far more than a reception role. You'll be the go-to person who keeps everything running smoothly, supports our Contact centre and other teams across the business, and creates a positive experience for everyone who walks through our doors.

Tasks and Qualifications:

What You'll Be Doing

As the heartbeat of our office, you'll:

  • Create exceptional first impressions as the first point of contact for visitors, customers and employees
  • Manage reception, phones, enquiries and visitor registrations with professionalism and warmth
  • Provide essential administrative support across multiple departments
  • Assist with Repair Centre forms and support Contact Centre activities
  • Coordinate incoming and outgoing mail, couriers and deliveries
  • Keep employee records, directories and office documentation up to date
  • Organise meeting rooms, catering and ensure the office always looks its best
  • Support workplace operations and facilities management activities
  • Process purchase orders, invoices and uniform orders
  • Use internal systems and ERP platforms accurately and efficiently
  • Build strong relationships with colleagues, customers, suppliers and visitors

Key Skills & Experience

  • Intermediate proficiency in Microsoft Word and Excel
  • Proven ability to multitask and manage competing priorities in a fast-paced environment
  • Strong organisational skills and exceptional attention to detail
  • Excellent verbal and written communication skills
  • Demonstrated initiative and strong problem-solving capability
  • Ability to build positive relationships and work effectively within a team
  • Experience using ERP systems or multiple business platforms (highly regarded)
  • Previous reception, administration or customer service experience desirable
  • Bring positive energy and a genuine willingness to help
  • Are confident using business systems and learning new technology
