Overview of the Role:

As a Reception Coordinator for one of JLL's key clients, you'll serve as the welcoming face and first point of contact for visitors, clients, and employees in a dynamic corporate environment. This role combines professional hospitality, administrative support, and operational coordination to create a welcoming, efficient, and professional workplace environment. Your day will involve managing front desk operations, coordinating meeting room logistics, supporting facility services, and ensuring seamless communication across teams. You'll handle everything from visitor registration and security protocols to mail distribution, catering coordination, and workplace service requests. Duties include but are not limited to:

  • Greet all visitors, clients, and guests with warmth and professionalism, creating positive first impressions and managing visitor registration processes including sign-in procedures, badge issuance, and security protocols 

  • Manage the front desk reception area, maintaining a clean, organized, and welcoming environment while overseeing lobby aesthetics including flowers, reading materials, and amenity displays 

  • Answer and direct incoming calls promptly and professionally using multi-line phone systems, taking accurate messages and routing inquiries to appropriate departments or individuals 

  • Coordinate meeting room bookings, prepare conference spaces with required equipment and materials, and provide hospitality support including refreshments and catering coordination 

  • Receive, sort, and distribute incoming mail, packages, and courier deliveries while processing outgoing mail and maintaining package tracking logs to notify recipients promptly 

  • Issue temporary access cards, manage visitor access permissions, and monitor entry points while maintaining awareness of building evacuation procedures and security protocols 

  • Serve as the first point of contact for workplace service requests including facilities issues and IT support needs, logging requests in appropriate systems and tracking resolution 

  • Provide general administrative assistance including photocopying, scanning, printing, document preparation, and maintaining office supplies inventory for reception and common areas 

  • Troubleshoot basic audio-visual equipment issues in meeting rooms, reset conference spaces after use, and coordinate technical support or maintenance when needed  

Sounds like you? We are looking for someone:

  • High school diploma or equivalent required 

  • Minimum 1-2 years of experience in a reception, front desk, or customer service role in a professional office environment 

  • Excellent communication skills with the ability to interact professionally with diverse audiences both in person and via telephone 

  • Strong organizational abilities and attention to detail with capability to manage multiple tasks simultaneously in a fast-paced environment 

  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and comfort learning new workplace technologies and service management systems 

  • Professional demeanor with a service-oriented mindset, positive attitude, and commitment to delivering exceptional hospitality 

  • Ability to maintain confidentiality and handle sensitive information and documents with discretion 

  • Flexibility to adapt to changing priorities and demonstrated problem-solving skills 

Preferred qualifications: 

  • Associate's or Bachelor's degree in Business Administration, Hospitality, Communications, or related field 

  • Experience working in corporate real estate, property management, or facilities services environments with understanding of workplace operations 

  • Familiarity with workplace management systems, visitor management software, room booking platforms, or service request ticketing systems 

  • Bilingual capabilities or additional language skills that support diverse client and employee populations 

  • Background in hospitality, event coordination, or office management roles with experience coordinating catering and conference services 

  • Knowledge of building security protocols, access control systems, and emergency evacuation procedures
