Key Responsibilities
- Lead the coordination and production of high-quality, compliant bid submissions and tender responses
- Manage bid timelines and submission milestones from initiation through to lodgement
- Review tender documentation, identify requirements, assess risks, and coordinate responses
- Ensure all proposals meet branding, quality, and compliance standards
- Mentor and support the Bid Coordinator, fostering a collaborative and high-performing culture
- Maintain and improve bid content libraries and proposal management systems
- Coordinate executive documentation, approvals, travel arrangements, expenses, and document execution for the Head of IFM
- Work closely with subject matter experts, operational teams, and external stakeholders to develop compelling proposal content
- Support proposal lodgements and manage multiple competing deadlines
- Contribute during peak bid periods, including occasional extended hours when required
About You
You are an experienced bid or proposal professional who understands what it takes to produce winning submissions.
You will bring:
- Demonstrated experience in Bid Coordination, Proposal Management, Tender Management, or Pursuit Coordination
- Strong experience preparing and coordinating complex tender submissions and proposals
- Intermediate to Advanced proficiency in Microsoft Word and PowerPoint
- Exceptional document formatting, editing, and presentation skills
- Strong project management and organisational capabilities
- Outstanding attention to detail and ability to manage multiple deadlines
- Excellent written and verbal communication skills
- Experience mentoring, coaching, or guiding team members
- Ability to influence and collaborate with stakeholders at all levels
- Experience working with proposal content libraries, templates, and bid management systems
- Adobe Creative Suite experience will be highly regarded
- Understanding of benefits-led selling and client-focused proposal development
