About the opportunity

The Snow Vision Accelerator at the University of Sydney is seeking a highly organised and proactive Senior Program Coordinator to support the coordination and delivery of a diverse portfolio of projects, programs and stakeholder initiatives that advance research, education and engagement outcomes.

Reporting to the Snow Vision Accelerator Program Manager, you will provide specialist administrative support, including project management support and operational coordination across multiple workstreams, ensuring projects are delivered efficiently, effectively and in alignment with strategic objectives. The role will see you coordinate project activities, develop and monitor project plans using Project Management tools, manage logistics, support governance processes, and contribute to the successful delivery of key events including annual symposiums, workshops and research-focused initiatives.

You will play an important role in building and maintaining strong relationships with internal and external stakeholders, including researchers, industry partners, collaborators and broader University networks. You will support effective communication, reporting (including financial budgets), stakeholder engagement and administrative activities, ensuring stakeholders remain informed and engaged throughout the project lifecycle.

Your key responsibilities will be to:

  • Lead the planning, coordination and delivery of complex projects, ensuring milestones, timelines and strategic objectives are achieved.

  • Develop, monitor and report on project plans, governance, budgets and risks to support successful project outcomes and continuous improvement.

  • Build and maintain strong relationships with internal and external stakeholders, providing expert advice and clear communication throughout the project lifecycle.

  • Coordinate high-profile events, research conferences, workshops and stakeholder activities, ensuring seamless delivery and exceptional participant experiences.

  • Provide high-level operational and administrative support, including meeting coordination, executive support, travel arrangements and the preparation of reports and correspondence.

  • Resolve complex issues with professionalism and discretion while ensuring compliance with University policies, procedures and governance requirements.

About you

  • Bachelor’s degree in a relevant field with equivalent combination of relevant training and experience.

  • Demonstrated experience coordinating complex projects, events or programs, with the ability to manage competing priorities and deliver successful outcomes.

  • Exceptional organisational and administrative skills, with experience monitoring project budgets, maintaining documentation and supporting governance processes.

  • Strong communication, stakeholder engagement and relationship management skills, with the ability to influence, negotiate and collaborate across diverse groups.

  • Highly organised with exceptional attention to detail, sound judgement and the ability to resolve complex matters with professionalism and discretion.

  • Proficient in the Microsoft Office suite, with a collaborative approach and a strong commitment to continuous improvement and service excellence.
