Your day at NTT DATA
We are looking for a highly organized and detail‑driven Project Coordinator / Professional Services Administrator to join our Professional Services Operations team on a 12‑month maternity leave cover. This role will be based in our Sydney office, working closely with our PS Operations Manager and project managers across Australia.If you enjoy supporting project teams, keeping things running smoothly, and working with data, this role will give you great exposure across a national project portfolio.
Key responsibilities: *Please take note this is Fixed Term Maternity
  • Provides project administrative support to project teams, including but not limited to handling project meetings such minute-taking, arranging meeting rooms.
  • Ensures that the project delivers the as-sold solution, while achieving quality criteria and maintaining client satisfaction.
  • Liaises with internal / external clients and ensures client satisfaction.
  • Keeps track of budget and project expenditures.
  • Compiles and updates the active project list on a weekly basis for the relevant stakeholders.
  • Provides documentation to relevant stakeholders as required.
  • Prepares resource utilization reports on a weekly basis and assists with the allocation of project resources if required.
  • Assists with project planning and maintaining the project calendar.
  • Assists with queries and cost monitoring by reconciling invoices with payments and ensuring required purchase orders are processed.
  • Ensures that closure checklists are maintained for projects that are requested to be closed and archived.
  • May perform team lead duties from time to time.
  • Performs any other related project administration activity as required.
You’ll be a great fit if you have:
  • Strong proficiency in Microsoft Excel
  • Experience using ERP or financial systems (SAP experience is an advantage, but training provided)
  • Exposure to project scheduling tools like Microsoft Project
  • Ability to read and extract information from Power BI reports (no development required)
  • Excellent communication skills and stakeholder management
  • Previous experience in PMO, Project Coordination, Project Administration, or similar roles

Academic qualifications and certifications:
  • High school diploma or equivalent qualification.
  • Relevant project management qualification or certification preferred.
Required experience:
  • Solid project administration and coordination experience preferably within a technology services environment.
  • Solid client engagement experience preferable.
Required Skills & Tools: Technical Skills
  • Strong Microsoft Excel skills (must-have)
  • Familiarity with Microsoft Project or other project scheduling tools
  • ERP / GL system experience – ideally SAP (training can be provided if needed)
  • Ability to use Power BI dashboards (viewing, extracting data — not development)
Soft Skills
  • Organized and detail‑oriented
  • Able to manage multiple follow‑ups
  • Comfortable communicating with internal stakeholders and occasionally clients
  • Good documentation habits
Ideal Candidate Background:
  • Previous Project Coordinator, Project Administrator, or PMO Admin experience
  • Worked in environments with ERP systems
  • Comfortable supporting multiple project managers
  • Strong administrative and reporting background
Additional Notes
  • The role is administrative-heavy, not technical
  • Candidate will be based in Sydney to ensure oversight and training from Stephanie
  • Involves interaction with project managers, engagement owners, and occasionally end clients
