About The Role:
The Flu Vaccination Program Supervisor is responsible for senior administration support of the flu vaccination program, including supervision of the flu vaccination admin support team. They are responsible for ensuring the program is delivered to the standard of the company and meets all the needs of the relevant client/s. The ability to work within budgets and timeframes and support the team to provide a professional standard of customer service to the client and participants is essential in successful completion of this role.
The Day-To-Day:
- Manage the allocation of flu vaccination clients across the Program Coordinators, ensuring equity in program allocation
- Assist with the onboarding & offboarding of the flu vaccination admin team at the start and end of the vaccination season
- Supervise the admin team, including rostering, being the contact for absences, communicating staffing changes to relevant stakeholders, timesheet processing
- Monitor team KPIs for customer service phone line, inbox queries & response times, ensuring adequate staffing levels and providing manager with reports on status
- Quality auditing, including call quality audits, pre-vaccination season audit completion and clinical audits as required
- Provide coaching to team members where required for continuous improvement
- Provide support to admin team regarding processes, and update documentation with any changes
- Support team morale including organising team events
- Other duties as required
- General office or business assistance when requested of you by the Manager
About You:
- Working knowledge with MS office programs, e.g. Word, Excel, Outlook, Teams
- High level interpersonal skills.
- Good understanding of project management processes.
- Effective time management and organisational skills.
- Strong skills to communicate with people with empathy & get the best out of them
- Effective communication skills with key stakeholders and the ability to identify and respond to client requirements.
- Excellent written & oral communication skills
- Ability to work in a fast-paced environment
- Positive can-do attitude and ability to problem solve
- Desired - A bachelor’s degree in health-related field (Exercise Physiology, Dietitian, Health Science, Nursing etc)
- Desired - Experience supervising a team
- Desired - Experience in a vaccination or health-related program
- Desired - Experience producing reports on team performance
