The Team Assistant – LIRRICS plays a pivotal role in supporting the smooth and efficient operation of the Legal, Industrial Relations, Insurance and Company Secretariat function. This is a full-time, 5-days-per-week onsite role based at the North Ryde office, providing hands-on support to senior leaders and the broader team. The position delivers high-quality administrative, financial and coordination support, helping to maintain effective governance, business processes and operational excellence. Through strong organisation, discretion and attention to detail, the role enables leaders and teams to focus on strategic priorities and business outcomes.

Key Responsibilities

  • Provide day-to-day administrative support, including diary management, document preparation, formatting and general coordination activities.
  • Coordinate leadership meetings and forums, including agendas, papers, logistics and action tracking to support effective decision-making.
  • Manage and maintain administrative processes, templates and documentation, ensuring accuracy, consistency and continuous improvement.
  • Support onboarding and offboarding activities and assist with maintaining team systems, records and document repositories.
  • Coordinate purchase orders, invoices, expense claims and legal billing administration in line with organisational policies and procedures.
  • Arrange travel, accommodation, itineraries and logistics for senior leaders and support the delivery of team events, workshops and offsite activities.
  • Maintain accurate records and apply sound judgement when handling confidential and commercially sensitive information.
  • Contribute to digitisation, self-service and process improvement initiatives that enhance efficiency and reduce manual administrative effort.

 

What You Will Bring

  • Previous experience in an administrative, team support or coordination role, ideally within a corporate or professional services environment.
  • Strong proficiency in Microsoft 365 applications, with the ability and enthusiasm to learn new systems and technologies.
  • Experience managing financial administration processes, including invoices, purchase orders and expense management.
  • Excellent organisational skills with the ability to manage multiple priorities and consistently deliver high-quality work within agreed timeframes.
  • Strong document preparation, formatting and presentation skills, including support for leadership and governance-related materials.
  • Professional communication and stakeholder management skills, with a collaborative and service-oriented approach.
  • High levels of discretion, integrity and sound judgement when working with confidential information, combined with a proactive mindset and commitment to continuous improvement.
