An overview of the role:   

The Workplace Coordinator is responsible for delivering exceptional client experience every day through enhanced engagement, proactive communication, and high-touch service within our client’s offices. This role is crucial in increasing the level of engagement and partnership between JLL, service partners, and Westpac to provide superior service delivery. The Workplace Coordinator is responsible for implementing the experience program at the client site, serving as the face of the workplace and ensuring consistently high-quality experiences for staff and visitors.

What this opportunity involves: 

Client Experience and Engagement

  • Serve as the initial point of contact for Westpac employee enquiries, issues, troubleshooting, and feedback related to workplace services, with the primary goal of positively impacting the care and comfort of employees and guests
  • Provide a visible, welcoming presence in the workplace, including time at reception/entry points and regular floor walks to proactively identify needs and improve day-to-day experience
  • Support key engagement activities and events in partnership with JLL and Westpac stakeholders to enhance connection, culture, and workplace experience
  • Support data collection, insights, and reporting that aligns to Westpac’s goals and helps drive service improvements

Ensuring Exceptional Service

  • Work collaboratively within the account team to support delivery of Experience Services across all business lines (Facility Management, Engineering, Transactions, Projects, etc.)
  • Assist with vendor and service partner coordination to support consistent service delivery and positive outcomes
  • Conduct routine walkthroughs and soft services checks to confirm workplace readiness, presentation standards, and service performance
  • Respond to requests and issues promptly, including personal follow-up to ensure the request is resolved and the employee experience is positive
  • Identify potential risks and escalate appropriately to help prevent privacy breaches, security incidents, or disruption to Westpac operations
  • Contribute to continuous improvement by identifying gaps, sharing ideas, and supporting implementation of improved ways of working

Sound like you?  This is what we’re looking for:  

  • Prior relevant experience in hospitality, workplace/office operations, facility/property support, or operations (commercial real estate exposure preferred)
  • Exceptional customer service skills and professionalism, with a genuine passion for hospitality and creating positive workplace experiences
  • Strong communication skills (written and verbal) and confidence engaging with a wide range of stakeholders
  • Strong organisation and attention to detail, with the ability to manage multiple priorities and deliver in a fast-paced environment
  • Ability to work independently while also being highly collaborative as part of a wider account team
  • Confidence using everyday workplace technology, including Microsoft Office (Teams, Outlook, Excel, Word, PowerPoint, OneNote)
