About the role:  
We're looking for an Experience Coordinator to manage daily operations and employee experience at our Sydney office for a leading AI research and deployment client. You'll be the primary point of contact for employees, visitors, and partners while overseeing workplace operations in partnership with our building management team. 

 
You'll work with our Workplace Operations Lead and serviced office partner on office initiatives and cultural programs. The role requires independence and initiative, with opportunities to contribute to strategic projects that improve employee experience and operations.

 

Key Responsibilities: 

  • Serve as the primary point of contact for employees and visitors 
  • Conduct daily office walkthroughs ensuring clean, safe, well-stocked environment 
  • Manage office supplies, mail, shipping, and inventory 
  • Manage employee requests through Jira ticketing system, coordinating with vendors as needed 
  • Plan and execute on-site and remote events, taking ownership of space booking, AV setup, guest management, and catering coordination within budget parameters 
  • Oversee meeting rooms and bookable spaces, troubleshooting calendar conflicts and ensuring meeting-ready environments 
  • Coordinate with external vendors and building partners for daily services including cleaning, IT support, and catering 
  • Maintain strong relationships with building management teams, handling access control, maintenance visits, and ongoing facilities needs 
  • Act as culture ambassador supporting workplace programs, fostering inclusive spaces, and implementing company traditions 
  • Facilitate new hire onboarding including desk setup, equipment provisioning, and memorable office tours 
  • Engage regularly with staff to gather workplace feedback and resolve requests independently, escalating only safety risks or major disruptions 

 
 

Skills Required: 

  • Experience in office coordination, hospitality, facilities, or workplace operations 
  • Strong operational mindset with genuine passion for creating meaningful employee experiences 
  • Proven ability to manage multiple projects and competing priorities with exceptional attention to detail 
  • Excellent written and verbal communication skills across various platforms and in-person interactions 
  • Proficiency in Google Workspace (Docs, Sheets, Slides) and experience with ticketing systems like Jira or help desk platforms 
  • Proactive, positive, solutions-oriented attitude with ability to thrive in fast-paced, people-first environments
