Performance objectives:

As a Workplace Experience Coordinator, you will own the overall workplace experience, be the first impression of Bloomberg for employees, visitors, and partners - delivering a high-touch, high-impact workplace experience. You’ll be responsible for managing daily operations in the Sydney office, including collaboration with the local building Community team. 

You’ll work in close partnership with the Account Lead, contributing to larger workplace initiatives and office activations. While the role requires someone highly proactive and independent, you will also be a key collaborator on strategic projects that enhance employee experience, operational excellence, and our cross-site community across Australia and New Zealand 

Duties & responsibilities:

Front of House

  • Maintain physical presence at Front of House from 07:30 – 18:00, with 2 shifts 07:30–16:00; 09:30-18:00.
  • Maintain accurate workplace information and provide excellent customer service (badge processing, greetings, notifications)
  • Provide wayfinding and building information (building entrance, ATM, transport links, parking, lift access) and relevant local/country information.
  • Coordinate support for traveling employees (welcome messages, workstation allocation)
  • Arrange building and office access for employees and visitors
  • Take ownership for the overall workplace experience and be empowered to identify and resolve issues end to end
  • Conduct daily office walkthroughs to ensure a clean, safe, and well-stocked environment.

Event Support

  • Collaborate with Bloomberg’s Global Events team and internal stakeholders to support onsite events, including guest flow management, room setup, and registration.
  • Assign and oversee event spaces for internal meetings and activations in accordance with Bloomberg’s guidelines.
  • Coordinate event setup, furniture arrangement, and all required services, including but not limited to security and cleaning.
  • Oversee catering services and ensure timely, accurate, and seamless delivery.

Service Tickets Management

  • Manage service tickets promptly and professionally
  • Ensure timely acknowledgment, status updates, follow-up, and closure of all workplace experience tickets in Bloomberg’s designated ticketing system.
  • Maintain accurate records of ticket resolution and provide reporting as required.
  • Respond to inquiries and feedback with empathy and efficiency, coordinating with janitorial or maintenance vendors as needed.

Employee specification:

  • 3+ years of experience in office coordination, hospitality, facilities, or workplace operations.
  • A strong operational mindset with a genuine passion for building meaningful employee experiences.
  • Proven ability to manage multiple projects and competing priorities with exceptional attention to detail.
  • Excellent written and verbal communication skills across email and in-person interactions.
  • A proactive, positive, and solutions-oriented attitude - someone who thrives in fast-paced, people-first environments.
