We are seeking a highly organised and customer-focused Client Services Officer to join our team. In this pivotal role, you'll be the first point of contact for clients and medical specialists, managing appointments, coordinating bookings, supporting key stakeholders, and ensuring the smooth coordination of schedules and administrative requirements.

Job Description

As a Client Services Officer, you will play a key role in supporting our clients, medical specialists and internal teams by:

  • Coordinate appointments and assessments – schedule assessments, manage appointment changes and ensure all required paperwork and information is completed ahead of consultations.
  • Be the welcoming face of Next Health – greet and assist staff, medical specialists, patients and visitors, creating a professional and positive experience from the moment they arrive.
  • Provide exceptional customer service – manage the telephone switchboard and respond to incoming enquiries, ensuring callers receive timely assistance.
  • Manage communications – responding to enquiries within the Next Health inbox, and ensuring correspondence is actioned and directed appropriately.
  • Work closely with medical specialists – communicate appointment changes, provide relevant information and assist medical specialists with the documentation and resources they need to complete their assessments.
  • Maintain accurate records – ensure files, documentation and records are accurately maintained, organised and filed in line with Next Health standards.

Qualifications

You'll bring:

  • Experience in customer service, client services, account management or administration
  • Experience managing appointments, scheduling or customer bookings
  • Excellent communication and relationship-building skills
  • Strong organisational and time-management abilities
  • Exceptional attention to detail
  • A solutions-focused mindset with the ability to manage competing priorities
  • Confidence working with technology and online systems
  • A collaborative and positive approach to teamwork
  • Reliability, adaptability and a strong customer-first attitude
  • Experience within the legal, insurance, medical or allied health industries - highly regarded
