About the role

We are on the lookout for a highly organised and experienced Executive Assistant to support our Executive Team. The ideal candidate will have outstanding communication skills, a keen eye for detail, and the ability to anticipate the needs of senior executives in a dynamic environment.

This role is a 12-month maternity leave cover. You will typically spend 2 or 3 days a week in the office, with the remaining days working from home.


Job Description

  • Manage complex calendars, including scheduling meetings, appointments, and travel arrangements for multiple executives 
  • Coordinate and prioritise incoming requests and messages, ensuring timely responses and follow-up actions 
  • Prepare and edit correspondence, presentations, and other documents on behalf of senior executives 
  • Act as a liaison between senior executives and internal/external stakeholders, including clients, partners, and vendors 
  • Attend meetings, take detailed notes, and distribute meeting minutes as needed 
  • Conduct research and gather information to support decision-making processes 
  • Assist with special projects and initiatives as assigned, collaborating with cross-functional teams as necessary 
  • Plan and organise team events, such as all hands off-site meetings, retreats, and team-building activities, to promote collaboration and morale 
  • Coordinate team-based reward and recognition programs to acknowledge and celebrate the achievements and contributions of team members 
  • Maintain confidentiality of sensitive information and exercise discretion in handling executive matters 
  • Anticipate and proactively address potential issues or conflicts, demonstrating problem-solving skills and sound judgment 
  • Provide support to other members of the administrative team as needed 


Qualifications

  • Experience as an Executive Assistant supporting C-suite executives
  • We are flexible on industry exposure, however coming from a fast-paced environment is highly desired 
  • Excellent computer skills, including the Microsoft Office Suite, Slack, Confluence and Jira 
  • Exceptional writing, editing, and proofreading skills 
  • Excellent organisation and time-management skills 
  • Background in events highly regarded 
  • A track record of excellence in high-performance settings
