Profile Requirements:

  • Experience: 3+ years of experience as an Executive Assistant, Administrative Assistant, or Music Business Administrator.
  • Music Industry Knowledge: Familiarity with music publishing, copyrights, royalty collection, licensing, and rights management, including platforms such as The MLC, SoundExchange, TuneCore, or similar services.
  • Organizational Skills: Exceptional attention to detail with the ability to manage multiple administrative and music rights tasks simultaneously.
  • Technical Proficiency: Strong proficiency with Microsoft Office, Google Workspace, spreadsheets, online databases, and document management systems.
  • Communication & Initiative: Excellent written and verbal English communication skills, with the ability to work independently, solve problems proactively, and maintain confidentiality.

Core responsibilities:

  • Music Sales Operations: Organize and maintain music sales processes, customer records, and administrative workflows to support ongoing sales, with particular attention to the Filipino jazz music audience.
  • Executive Support: Manage calendars, emails, scheduling, document organization, and administrative tasks to keep business operations running smoothly.
  • Mechanical Licensing Administration: Set up and maintain the business's Mechanical Licensing Collective (MLC) account and ensure compositions are properly registered.
  • Royalty & Music Reports: Obtain, organize, and monitor music usage and royalty reports from MRI and prepare summaries for management review.
  • Digital Performance Royalties: Manage SoundExchange registration and administration to ensure accurate collection of digital performance royalties.
  • Copyright Verification: Research and verify song registrations through the U.S. Copyright Office, ensuring all works are accurately documented and protected.
  • Publishing Account Management: Maintain and update the company's TuneCore Publishing account, ensuring songs, metadata, and publishing information remain accurate.
  • Documentation & Compliance: Maintain organized records of licensing, registrations, royalty statements, contracts, and publishing documentation while identifying administrative improvements to streamline operations.
  • Music Registration & Platform Accuracy: Ensure songs are correctly distributed across relevant music platforms and verify the accuracy of song titles, artist names, credits, metadata, and ISRC codes.
  • Music Information & Branding Consistency: Ensure the artist’s name, biography, artwork, music details, and overall brand presentation remain accurate and consistent across streaming platforms, websites, social media, and promotional materials.
  • Christmas Music Release Support: Support the preparation, promotion, and distribution of the client’s Christmas music, targeting a release by late October or no later than November 1.
  • External Music Industry Coordination: Communicate with music-related companies, distribution partners, and third-party providers as needed, including the company producing music download cards for live performances.
  • Task Prioritization: Manage approximately three priority tasks per day during the four-hour shift to maintain accuracy, quality, and proper follow-through.
