This role is an Australia-based, fully work-from-home position, with access to co-working spaces in Sydney, Melbourne and Brisbane.

Job Description

The People Systems Specialist assists in maintaining the appropriateness and effectiveness of Montu’s HRIS (HiBob), supporting effective data management, smooth HR operations, improved impact for downstream teams, and internal education and change management.

The Systems Specialist will be the Subject Matter Expert (SME) for our core HRIS, HiBob. This role is responsible for the improvement and management of this system including project scoping, planning (including identifying cross-system and team implications of change), stakeholder management, creation and execution of test cases, and the creation and communication of good supporting collateral for users. This role supports both Australian and International users.

HiBob Expert

  • Serve as a system administrator, SME and technical lead for our core HRIS (“HiBob”).
  • Improve the efficiency and automation, and suitability of Bob, maintaining an expert knowledge in the system’s capabilities, limitations, product roadmap and releases.
  • Design, execute and test system changes in Bob, including effective project management, stakeholder engagement, up and downstream impacts, user behaviour changes, and asset updating..
  • Ensure Bob documentation is accurately maintained, including system dependencies, network maps, field/setup requirements, templates etc
  • Ensure appropriate controls are designed and implemented to maintain the security and effective management of Bob, including reviewing security and admin profiles for local and international users.
  • Help build and maintain resources for employees, managers, and the People team to promote self-service use of people systems
  • Perform routine audits Bob to ensure all information and setup is up to date

Systems Management

  • Have a good working understanding of other HRIS tools used, and be able to support BAU and general administration and support. Tools include our ATS (SmartRecruiters), and enablement platform (15Five).
  • As required (eg, work overflow, team absences etc)
  • Process changes for employees and people leaders and manage workflow tasks in other tools
  • Manage access for portals and system access used in the People team
  • Provide support with management of the systems

People Systems BAU

  • Generate communication and ‘how to’ assets, deliver business user training and ensure end user capability.
  • Respond to general queries and requests for support from internal stakeholders
  • Generate reports as required
  • Participate in other People Systems projects and activities as required
  • Contribute to the development and maintenance of the People Team Handbook and HR Wiki collection, ensuring up-to-date documentation of workflows, processes, and available operational templates
  • Contribute to HR continuous improvement projects and work

Qualifications

  •  
  • Extensive experience in configuring and maintaining HiBob
  • Strong capability in custom fields, flows and tasks lists, permission groups, table creation and management, reporting, integrations and service users, time and leave management
  • Prior experience in project managing system implementation or significant change programs
  • Strong capability in identifying and managing system interdependencies for successful stakeholder outcomes.
  • Strong organisational and multitasking skills
  • Excellent stakeholder management skills
  • Tech-savvy and systems minded with experience in process optimisation
  • Ability to handle sensitive and confidential information with discretion
  • Strong problem-solving skills and a proactive approach to task
