Profile Requirements:

  • Sales & Customer-Facing Experience: 2+ years of experience in sales support, customer service, business development, appointment setting, client intake, administrative support, or a similar customer-facing role. Experience in healthcare, home care, senior care, or a related industry is a strong plus.
  • Excellent Communication Skills: Strong verbal and written communication skills with the ability to confidently speak with prospective clients, understand their needs, build rapport, and provide a professional first point of contact for the business.
  • Client Intake & Lead Qualification: Comfortable handling inbound calls and enquiries, asking relevant questions to understand client needs, qualifying opportunities, providing initial information, and determining the appropriate next steps.
  • Sales & Follow-Up Skills: Comfortable with basic sales conversations, following up with prospects, addressing common questions or objections, nurturing leads, and helping convert enquiries into qualified opportunities or scheduled meetings.
  • Prospecting & Business Development: Able to research potential clients and organisations, identify relevant decision-makers, build prospect lists, and conduct outbound calls and email campaigns to generate new business opportunities.
  • Research & List Building: Strong research skills with the ability to identify potential referral sources, healthcare organisations, nursing facilities, and other relevant prospects, and maintain accurate and organised contact lists.
  • Organisation & Technology: Highly organised and detail-oriented, with the ability to manage leads, calls, follow-ups, appointments, and administrative tasks. Comfortable using CRM systems, calendars, spreadsheets, email, LinkedIn, and other business software.
  • Initiative & Problem-Solving: Proactive and resourceful, with the ability to suggest new ideas for lead generation, client acquisition, outreach, and business development rather than relying solely on assigned tasks.
  • Professionalism & Reliability: Self-motivated, dependable, responsive, and able to work independently while maintaining professionalism, confidentiality, and a positive approach when communicating with clients and prospects.
  • Flexibility: Comfortable working with a flexible schedule and responding to client enquiries or sales opportunities when needed, including occasional weekend lead activity.

Core responsibilities:

  • Inbound Client Support & Intake: Serve as the first point of contact for incoming client inquiries, answer calls professionally, understand prospective clients’ needs, provide initial information about the company’s services, and ensure inquiries are handled promptly.
  • Lead Qualification & Warm Sales Support: Speak with prospective clients to understand their needs, build rapport, answer initial questions, qualify opportunities, and warm leads before scheduling or handing them over to the appropriate team member for further discussion.
  • Appointment Setting & Calendar Coordination: Schedule qualified prospects for consultations, assessments, meetings, or other next steps with the appropriate team member. Manage calendars, confirm appointments, and ensure all appointment details are properly documented.
  • Lead Follow-Up & Nurturing: Follow up with leads who have made an inquiry but have not yet scheduled a consultation or moved forward. Maintain consistent and professional communication to keep prospects engaged and help move them through the sales process.
  • Business Development & Outbound Prospecting: Support business development activities by researching potential organisations and decision-makers, compiling prospect lists, and conducting outbound calls and email campaigns to identify potential clients and generate new business opportunities.
  • Prospect Research & List Building: Research nursing facilities, healthcare organisations, referral sources, and other relevant businesses or organisations in the target market. Build and maintain accurate prospect lists for outbound calling and email campaigns.
  • Marketing & Lead Generation Support: Assist with lead-generation initiatives, including outreach campaigns, referral opportunities, local advertising initiatives, and other approved business development activities. Contribute ideas and participate in brainstorming sessions to identify new ways to generate clients.
  • Sales & Client Acquisition Support: Support the business owner and sales team with warm sales activities, lead coordination, client information gathering, follow-ups, meeting preparation, and other tasks that help convert prospects into consultations and clients.
  • CRM & Lead Management: Accurately record and maintain lead and client information, update CRM records, document calls and interactions, track follow-ups and appointments, and ensure prospect information is current and organised.
  • Client Communication & Coordination: Handle incoming and ongoing communication through phone, email, and other approved channels. Coordinate information between prospective clients, families, referral sources, and internal team members as required.
  • Administrative & Sales Support: Provide administrative assistance related to client intake, scheduling, reporting, spreadsheets, prospect lists, documentation, and other day-to-day activities that support the sales and client acquisition process.
  • Flexible Lead Response: Remain responsive to incoming leads and inquiries within the agreed working schedule, recognising that prospective client inquiries may come in at different times. Prioritise timely responses to help maximise lead conversion opportunities.
